How to create a statement or invoice


Find out how to view an existing statement, create a new statement, request a tax invoice and view your credit notes online.

Overview

  • With Student Services Online you can view an existing statement of your account or generate a new one.
  • You can also request a tax invoice if you need one for tax purposes.
  • If you have requested a tax invoice and there are any changes to the invoiced charges, you can see a record of the change in the form of a credit note.
  • Please note you must turn off your pop-up blocker to view your statement or invoice, as it will appear as a PDF in a separate window.

Instructions

View an existing statement

  1. Sign into Student Services Online.
  2. Scroll down to the Finance Links at the bottom of the home page.
  3. Click View Statement. The ‘Statement of account’ page will appear.
  4. In the ‘Statements/Non-GST Invoices’ section you’ll see a table listing the account statements you have previously generated.
  5. Click the View Statement link for the statement you want to view or print.

What’s the difference between a statement and a tax invoice?

  • A statement is an official record of fees charged and payments made to your account over the period covered by the statement. It also shows the total amount due at the statement end date and information about how you can pay. You can use it as an invoice (a bill you have to pay). It doesn’t show how much GST is included in the charges, but most students don’t need this GST information.
  • A tax invoice is a ‘bill’ that has to be paid. It shows the GST included in the charges for organisations or people who need this for tax purposes.

Create a new statement

  1. Sign into Student Services Online.
  2. Scroll down to the Finance Links at the bottom of the home page.
  3. Click View Statement. The ‘Statement of account’ page will appear.
  4. Click the Generate Statement/Invoice button. The ‘Generate statement’ page will appear.
  5. Click the magnifying glasses to select the Academic Year that you want the new account statement to cover.
  6. Click the Produce Statement button. A new browser window will open showing the statement in PDF format.

Request a tax invoice

  1. Sign into Student Services Online.
  2. Scroll down to the Finance Links at the bottom of the home page.
  3. Click View Statement. The ‘Statement of account’ page will appear.
  4. Scroll down to the ‘Tax Invoice for GST Purposes’ section.
  5. Click the Request Tax Invoice button. The ‘Billing address’ page will appear.
  6. Enter the address and email that you want the invoice sent to. If you do not enter an email address, it will be automatically sent to your University email address. Alternatively, if you want it sent to the address you provided to the University as your primary address, simply click the circle beside ‘Address the Tax Invoice to my primary address’ and the tax invoice will be automatically emailed to your University email address.
  7. Click Save. The tax invoice will be sent to the email address details you provided within 3 working days.

Your ‘Request Tax Invoice’ button will now be inactive for the rest of the academic year. If any of your tax invoice address details change (including the email address) during the course of the year, you will need to email fees@auckland.ac.nz.

Tips

  • Tax invoices will be generated for the current academic year. You may require a tax invoice if:
    • Your employer is paying for your tuition fees.
    • A GST-registered third party is paying for your tuition.
    • You are GST-registered.
  • Tax invoices issued must be paid by the standard University of Auckland due dates for fee payments. If you are unsure if you require a tax invoice, contact the Student Information Centre.

View your credit notes

  1. Sign into Student Services Online.
  2. Scroll down to the Finance Links at the bottom of the home page.
  3. Click View Statement. The ‘Statement of account’ page will appear.
  4. Scroll down to the ‘Credit Notes’ section.
  5. If any credit notes have been issued following changes to your tax invoice charges, they will show here.
